Nightclub on Wheels Deposit, Cancellation, and Rescheduling Policy
Scope
This policy applies to Nightclub on Wheels (NCOW) reservations only.
Deposits, Payments, and Fees
- A deposit is required to reserve your date and is non-refundable.
- Processing fees (3.4%) and booking fees (1.9%) are never refundable, even if a refund is otherwise permitted.
- NCOW is booked as one group reservation under the name of the person who paid.
Option 1, Refund or Reschedule with 7+ Days Notice
If you notify us 7 or more days before your reservation date/time, you may choose one of the following:
Cash Refund
You may receive a cash refund of the amount paid minus the deposit and minus non-refundable fees (processing fee and booking fee).
OR
One-Time Reschedule (Credit of Deposit)
- You may reschedule one time within 90 days of your original reservation date.
- Your deposit carries over to the new date.
- Reschedules are subject to availability.
Option 2, 48+ Hours Notice (Reschedule Only)
If you notify us 48 hours or more before your reservation date/time, but less than 7 days before, there are no cash refunds. However:
- You may reschedule one time within 90 days of your original reservation date.
- Your deposit carries over to the new date.
- Reschedules are subject to availability.
Under 48 Hours and No-Shows
- Cancellations or reschedule requests made less than 48 hours before the reservation date/time are not eligible for a refund or reschedule.
- No-shows are not refundable and not eligible for reschedule.
Group Size Changes and Partial Dropouts
- NCOW is a single group reservation. We do not issue refunds for individual guests who drop out. The reservation holder is responsible for collecting payments from their group.
- If only the deposit has been paid, the reservation holder may request a headcount adjustment, subject to our cutoff and operational requirements.
- If the reservation has been paid in full, reductions in headcount do not reduce the total and are not refundable.
Vehicle Tier, Availability, and Upgrade Fees
- Vehicle assignments and changes are subject to availability.
- If your group size changes and a different vehicle tier is required or requested, upgrade fees may apply.
- Upgrade fees are $75 per tier (example: Sprinter to XL Sprinter is $75, Sprinter to Party Bus is $150).
- If a smaller vehicle tier is not available on your date, you may keep the originally booked vehicle, pay any applicable upgrade fee if needed, or use your one-time reschedule (if eligible).
Price Differences
- If the rescheduled date or requested changes result in a higher total, the customer is responsible for paying the difference.
- If the rescheduled date or changes result in a lower total, any remaining credit is applied to the rescheduled reservation only and is not redeemable for cash.

FAQs
Is There A Dress Code?
There is no dress code to board a las vegas limo party bus, however, if you plan on going to a Vegas night club afterwards, then yes there are dress code rules to follow. In general, you want to wear on-trend and upscale attire. No flip flops, sports jerseys, workout clothes, offensive words or imagery, nudity, baseball caps etc. Even Nike Jordans should be avoided to be on the safe side.
Are There Any Additional Charges?
Nope. The grand total amount you pay for the experience package already includes all tax, fees & gratuity to your driver. This is Vegas and all of the hardworking folks will always graciously accept your cash tips as well, but that is optional.
May I Participate If I Turn 21 Years Old At Midnight?
Yes, however, the reservation must be booked for midnight or later.
What Kind Of Music Will Be Playing?
Anything you’d like! Simply ask your driver to play some tunes or ask them for the vehicle’s Bluetooth name so you may connect and play your own music from your mobile device.
May We Get Picked Up From An AirBnb or Off-Strip Restaurant?
Yes! Distance from the Strip limits apply. Your driver can pick you up or drop you off at an AirBnb or off-Strip restaurant, but it will still count toward your party bus allotted time.
For example, if your vacation rental is far from the Strip or if there is traffic heading toward the Strip, your driver might have to skip the Photo Op at the Vegas Sign or Bellagio Fountain. We recommend keeping your pickup/dropoff locations on the Strip or under 1 mile away.
Can We Split Payments?
Yes, you may have your payment split up to 3 ways. However, most groups will simply have one main person purchase and then everyone else in the group simply pays them back using Venmo, CashApp, Zelle etc.
Are The Vehicles Wheelchair Accessible?
Unfortunately, none of the vehicles are wheelchair accessible.
What If Someone In Our Group Is Under 21 Years Old?
This is a 21+ experience and nobody under the age of 21 is allowed to participate.
Is Food Allowed Inside The Vehicle?
No, food is not allowed inside the vehicle.
Is Smoking Allowed Inside the Vehicle?
No, smoking is not allowed inside the vehicle.
Can I Bring My Own Drinks?
Sure! This experience is BYOB-friendly. Of course, please drink responsibly.

May We Change The Number of People After Booking?
We will try our best to accommodate group size changes with an emailed request to info@gxptours.com received at least 7 days prior to your reservation. Party bus rentals in Las Vegas book up quickly. Changing group size after booking may require a change in vehicle size & overall cost, which makes all change requests subject to vehicle availability.
